Legal & Compliance Assistant

About the Role

As a Legal & Compliance Assistant, you provide structured administrative and organisational support to the Legal & Compliance team. You play a key role in ensuring the smooth day-to-day functioning of the department by maintaining accurate documentation, coordinating contract processes, and supporting compliance-related activities.

You ensure that corporate documentation, contract workflows, and compliance formalities are handled accurately and in a timely manner. Through your precision and organisational skills, you contribute to maintaining a reliable, compliant, and well-structured legal framework within the organisation.

This position is ideal for a detail-oriented professional who thrives in a structured environment and enjoys supporting legal operations with efficiency and integrity.

Key Responsibilities

1. Corporate Governance & Documentation

  • Prepare, draft and administratively follow up on minutes of Board of Directors and General Shareholders’ Meetings

  • Manage corporate documentation, including powers of attorney and statutory records

  • Ensure proper filing, archiving and accessibility of corporate and legal documents

2. Contract Management

  • Prepare and administratively manage legal documents and contracts

  • Coordinate signature processes and internal approval workflows

  • Monitor contractual deadlines and ensure timely follow-up

3. Compliance Administration

  • Follow up on UBO and KYC formalities

  • Maintain legal databases and ensure accurate and up-to-date record-keeping

  • Provide structured administrative support to the Legal & Compliance team

4. Internal Support

  • Coordinate meetings, agendas and schedules for the Legal team

  • Support internal stakeholders with queries related to legal administration

  • Provide administrative support to HR on social-legal matters

Role-Specific Technical Skills

  • Bachelor’s degree in Legal Practice (Rechtspraktijk), Business & Languages, or equivalent through relevant professional experience

  • Solid understanding of legal terminology and corporate documentation

  • Knowledge of corporate governance administration, including board minutes, powers of attorney, and statutory records

  • Familiarity with compliance-related formalities such as UBO and KYC follow-up

  • Excellent written and verbal communication skills in Dutch and French, with a good working knowledge of English

  • Proficiency in Microsoft Office applications
